Purchasing Staff Accountant

Department: Operations
Location: Tampa, FL

The Accounts Payable/Purchasing Staff Accountant is responsible for managing the company's accounts payable processes, ensuring timely and accurate payment of invoices, and supporting purchasing activities. This role involves collaboration with various departments to maintain financial accuracy and ensure compliance with company policies.

Duties and Responsibilities:

Accounts Payable:

  • Process and review all incoming invoices for accuracy and compliance with company policies.
  • Prepare and execute payments to vendors, ensuring timely disbursement of funds.
  • Reconcile accounts payable transactions and resolve discrepancies.
  • Maintain accurate records of all accounts payable transactions.
  • Assist with month-end closing activities, including accruals and reconciliations.
  • Reconciliation of credit card transactions, Amazon transactions, and expense reports.
  • Vendor coding/review of invoices including processing, matching, and mailing of vendor payments.
  • Obtaining appropriate invoice approvals and follow-up.
  • Responding to client and vendor telephone inquiries.
  • Maintain the filing of records of copies of checks and supporting documents.

Purchasing:

  • Support the procurement process by preparing purchase orders, placing orders and managing vendor relationships.
  • Evaluate vendor proposals and negotiate terms to secure the best pricing and service.
  • Monitor inventory levels and coordinate purchasing activities with field operations to maintain optimal stock levels.
  • Collaborate with department heads to understand purchasing needs and requirements.
  • Inventory management.

Reporting:

  • Enter accounting related information into business logs.
  • Prepare regular reports on accounts payable and purchasing activities for management review.
  • Analyze trends in spending and provide recommendations for cost savings and efficiency improvements.

Compliance and Auditing:

  • Ensure compliance with all financial policies and procedures.
  • Assist with internal and external audits related to accounts payable and purchasing functions.
  • Ensures compliance with established Policies and Procedures.

Collaboration:

  • Team player that can work closely with the finance team and other departments to ensure seamless operations.
  • Provide support and training to other staff members regarding accounts payable and purchasing processes.

Skills Required:

  • Bachelor’s Degree or equivalent work experience required.
  • Excellent oral and written communication skills.
  • Computer literacy, M/S Word and Excel required.
  • Analytical Skills: Ability to analyze data and provide insights for decision-making.
  • Experience with NetSuite (preferred) or equivalent ERP system.
  • Detail oriented and able to meet deadlines.
  • Previous accounting knowledge and/or bookkeeping experience.
  • Ability to read, understand and interpret contracts.
  • Organizational Skills: Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Problem-Solving: Ability to identify issues and implement effective solutions.

Our rapid growth nationwide has created a vital role at the corporate office that oversees the critical details in properly launching a new hotel operation. We start approximately 4 new hotels each month, and in order to ensure all details are met on time and with accuracy. This role is perfect for the right person who can think independently and balance multiple projects while staying well-organized..
